Background
Led a complex initiative involving multiple stakeholders, including directors and C-suite executives from environmental services, infection prevention, facilities, marketing, and the executive team for a health system. The project goal was to ensure approximately 142 hospitals were operationally ready to welcome patients back for surgeries and other procedures through a well-coordinated reopening approach.
Action:
Coordinating Stakeholders: I brought together diverse perspectives from each functional area, identifying and prioritizing facility reopening deliverables using Lean Six Sigma brainstorming techniques. When faced with competing priorities among different teams, I utilized stakeholder mapping to determine influence, power, and collaboration dynamics within each team. Then I adjusted our approach to leverage those strengths.
Project Management Tools: I implemented Smartsheet's Kanban tools to visualize, track, and manage tasks and workflows, providing visibility of progress and accountability across all teams.
Communication Planning: In partnership with the Marketing team, I designed an internal communication plan utilizing a communication matrix based on PMI best practices. The communication matrix defined all internal audiences, frequency, and content of communications, ensuring clarity and consistency while reducing the noise often associated with cross-functional projects.
Risk Management: I led the team in identifying and rating potential risks, developing a comprehensive risk mitigation plan to address them proactively.
Result
Our team delivered a comprehensive playbook deployed to 100+ locations, featuring high-level and detailed plans, visuals, and processes to prepare facilities, environmental services, retail spaces, and food service areas. The key success metric was the hospital's percentage of compliance with playbook guidelines.
